1. Creating and Saving Templates
There are two ways to create a new template:
Duplicate an existing template: In the template overview, choose a template you like, duplicate it, and edit it as needed.
From inside a booking: Open a booking, create a new contract, make your edits, then click the three dots in the top-right corner → Save as template. This saves your edited contract as a new reusable template.
2. Editing Fields in a Template
Remove placeholders: Place your cursor on the placeholder (e.g. Event Title) and press Backspace – just like in Word.
Dynamic placeholders: Templates use dynamic placeholders to pull data directly from a booking (e.g. Artist name, Venue, Gage). You can add or remove these placeholders as needed.
3. Using Templates in a Booking
When you select a template in a booking, any changes you make only affect that booking.
The original template is not overwritten.
If you want your edits to be reusable, save the updated contract again as a new template (Save as template).
4. Contact Fields in Templates
Contact fields (e.g. On-site contact, Technical contact) pull data from the Contacts section of a booking.
By default:
On-site contact = Artist care / Contact list
Technical contact = Other contact
You can adjust these fields in the template to fit your workflow.
A dedicated Technician category will be available in the future, based on agency feedback.
💡 Tip: You can also define a rule for “Other contacts,” e.g. first entry = Technical contact, second entry = On-site contact.
5. Fields Requiring Customer Input
Some contract fields depend on information you may only receive later (e.g. Doors open).
Options:
Leave the placeholder empty – the contract will display “No data”, making it clear that this field still needs to be filled in.
Pre-fill with a note – e.g. “To be defined after contract signing”.
6. Handling Fees and Gages
All gage fields can be customized per booking.
Data comes directly from the Deal tab in the booking.
You can decide whether to show:
Gage including commission
Gage excluding commission
Commission as a separate line item
Each option has its own dynamic placeholder, so you can configure exactly what should appear in the contract.
7. Best Practices
Keep templates clean: Avoid unnecessary placeholders or text to ensure contracts remain concise.
Use versioning: Save different contract types (Artist contract, Private event contract) as separate templates.
Check placeholders: If a field shows “No data,” double-check that the relevant information has been entered in the booking.
