How do agents copy a booking and prepare it for a new show?

Duplicate an agency booking, check copied dates and guest details, recreate tasks, and safely identify an unwanted duplicate.

Copy an existing agency booking from Bookings > List view using the copy icon on its booking card. Optune creates a separate booking that you can adapt for the new engagement.

Copying is useful when many production details are similar. Review the new record carefully: dates, notes, guest names and schedule entries can still describe the previous show, while booking tasks need to be checked and created separately.

When should I copy a booking?

Copy a booking when the new engagement has a similar structure, such as another club show with the same artist and production setup. Edit the existing booking when you are simply correcting the same engagement; a copy would create an additional record.

How do I copy an agency booking?

  1. Open Bookings.

  2. If you are in Calendar view, open the view selector and choose List view.

  3. Find the source booking. Search for the event name if the list is long, and check the artist and date.

  4. On the right of its booking card, select the copy icon, shown as two overlapping squares.

  5. If Optune asks for confirmation, confirm the copy. Otherwise, the new booking can be created immediately.

  6. In the new booking, update the event name and the details for the new engagement.

  7. Complete any open field editor, select Save, and reopen the booking to check the saved result.

In My Account > Settings > Booking settings, Confirm to copy booking controls the confirmation step. When disabled, clicking the copy action creates the booking directly. Avoid clicking it repeatedly while waiting for the new record to open.

What to review

Artist, event name and event type

Confirm that the copy describes the new engagement and rename it clearly.

Show dates, times, duration and doors

Old values can be retained. Set the correct start and end, including the next date for an overnight show.

Operational period

Review Period start and Period end separately from the show. Travel and setup may cover different dates.

Notes and schedules

Check every explicit date, time and description. Text mentioning the old event is not rewritten for you.

Guest list

Capacity, names, quantities and comments can be copied. Remove or update event-specific guests before using the new list.

Venue, contacts and Deal

Check the venue, responsible people, fee, currency and terms for the new engagement. Do not assume the old arrangement applies.

Tasks

In the agency copy workflow, the new Tasks tab was empty although the source contained tasks. Create or apply the follow-up checklist to the new booking, then check owners and due dates.

Contracts, invoices, polls, requests and sharing

Open the relevant tabs and check what the new booking requires. Copying a booking is not a substitute for reviewing or issuing the correct documents and invitations.

Keep the source booking as the record of the original engagement. Changes to the newly created booking belong to that separate record.

Does changing the show date update the other dates?

Do not assume it does. In the agency workflow, changing a copied show to a new date left the operational period and explicit schedule dates unchanged until they were reviewed separately.

For example, moving the show from 28 November to 5 December does not rewrite a schedule note that says “finish on 29 November”. Update the schedule's date and the written instructions as well.

If a date field is marked invalid, review the complete set of show and operational dates. An old operational end date can prevent you from completing the field editor after moving the show to a later date. Correct the relevant values before saving.

What should I check before using the new booking?

  1. Confirm that you are editing the new booking, not the source.

  2. Check its status and public visibility separately. Do not rely on copying to choose the correct state for a new engagement.

  3. Review the artist, venue, client, fee and all dates.

  4. Replace old production instructions and remove guests who do not belong to this event.

  5. Create the required tasks, documents and other follow-up work for the new booking.

  6. Check any sharing settings before sending information to another person.

What if I created an unwanted duplicate?

First identify the unwanted copy by its event, date and booking link. Make sure it contains no work you need to retain. Open that copy, use the three-dot menu, select Delete booking, and review the confirmation before selecting Yes, delete.

Do not delete the original engagement by mistake. If other people have already worked on the duplicate or documents have been issued from it, coordinate the correction with your agency before removing it.
