How do I manage artist access for existing agency team members?

Review an agency member's role, editing rights, deal visibility and artist access, and check the result with your colleague.

Agency admins can choose which artists an existing agency team member can access. Use this when colleagues work with different parts of your roster. Artist access is an agency permission, not just a filter for the calendar.

This guide covers an existing member of your agency team. If you are inviting a new colleague, first follow the agency-team invitation section in Getting started as a booking agent. A new invitation may require a subscription review before you can continue.

Before changing access

You need agency admin rights to configure artist access. If you are not an admin, ask an agency admin to make the change. Check the active agency, the person you are editing and the artists they need to work with.

Agency-team permissions and membership of an artist's own team are separate. Review the individual settings rather than relying only on a role name.

Change an existing member's access

  1. Open Agency > Team and select the existing team member to open their role and rights settings.

  2. Review the member's role, editing or read-only access, and deal visibility. Keep these settings aligned with the person's responsibilities.

  3. Under Restrict access to artists, choose Selected artists only and enable the artists this person should work with. Use All artists only when that wider access is intended.

  4. Review the person and selections, then use the update-member button to apply your changes. Close the dialog without making changes if you only wanted to inspect the current settings.

  5. Reopen the member's settings to check the saved choices, then ask the colleague to check their own view of the relevant artists and bookings.

Member role

The available roles include Admin, Agent, Accountant and Other. Choose the role that matches the person's responsibility, then review the separate permission settings.

General rights

Editing access and read-only access are separate choices. Check whether the person needs to change information or only consult it.

Deal visibility

The dialog provides visible and hidden choices. Its explanation states that agents with restricted deal access cannot see deal information, including invoices and contracts.

Artist access

Choose all artists or selected artists. Artists that are not granted to the member are hidden from that member in Optune generally, rather than only in the calendar.

When responsibilities or your roster change, review the member's artist selection again. Check their view before relying on the setup for confidential information.

If the result does not match the settings

Contact Optune support through Ask for help. Include the agency, the affected team member, an example artist or booking, and screenshots of the selected settings and the unexpected view. Explain what the person should be able to see or change.
