Restrict artist access for individual agency team members

Control which artists your agency team members can see, book, manage, and receive notifications from in Optune.

What this feature does

If you run an agency with multiple agents, you can now restrict which artists each team member has access to.

This is a full access restriction. If you remove an agent’s access to an artist, that artist disappears entirely from their account. They will no longer see that artist’s bookings, deals, contracts, invoices, tasks, or notifications.

This is especially useful for agencies with a larger roster, for example 20, 50, or 100+ artists, where each agent should only focus on their own assigned artists without being distracted by unrelated data or notifications.

Who can use this feature

Only agency admins can configure artist access restrictions.

Admins always see all artists in the agency and can update access settings for themselves and other team members at any time.

Agents without admin rights only see the artists they have been granted access to. If no artists are assigned to them, they will not see any artists.

How to set up artist access restrictions

  1. Open your agency team page
    Agency → Team

  2. Click Add new agent to invite a new team member
    or edit their exisitng settings

  3. In the Role and rights modal, scroll to the section Restrict access to artists

  4. Select Selected artists only instead of All artists

  5. Activate the artists this agent should be able to access

  6. Save your changes

The selected agent will immediately only see the artists you have assigned to them. All related data for other artists will be hidden from their account.

What restricted agents cannot see

Agents with restricted artist access cannot:

• see artists outside their assigned access list
• view bookings, invoices, or contracts for artists they do not have access to
• access the artist settings page for restricted artists
• configure booking request settings for artists they cannot access
• receive notifications from artists they do not have access to
• see tasks linked to bookings for artists outside their access list

What happens when new artists join your agency

When a new artist is added to your agency roster, that artist is automatically visible only to agents who have full artist access, such as admins or agents set to All artists.

Agents with restricted access do not automatically get access to new artists. If they should work with that artist, an admin needs to grant access manually.

Managing your own access as an admin

As an Angent with admin access rights, you can also adjust your own artist access settings if needed.

You will always see all artists inside the selection modal, even if you previously restricted your own access. This ensures you can never accidentally lock yourself out from managing artists in the agency.

You can restore access to any artist at any time.

Tip

You can use this feature to create specialized teams inside your agency.

Example: one agent manages electronic artists, while another focuses on live bands. Each person only sees the bookings, tasks, and notifications relevant to their own roster, which keeps the workspace cleaner and easier to manage.

Important notes

This restriction is immediate and absolute.


As soon as you remove an agent’s access to an artist, all related data disappears from their view instantly. There is no warning or grace period, even if the agent still has open tasks or pending contracts connected to that artist.


Every agency must always have at least one admin.


Admins can always restore artist access for themselves or for other team members, so there is no risk of permanently losing access to your agency roster.
