How do I check document fields and the PDF preview as a booking agent?

Dynamic fields help you reuse information from your booking, contacts and other selected sources in documents. Review the saved source, then check the document preview and downloaded PDF to prepare a complete result.

This guide is for booking agents. Review the specific document and booking your agency is preparing; each template or booking can use its own information.

Connect document fields with booking information

  1. Identify whether you are viewing a reusable template or a document created for a specific booking.

  2. In the relevant booking, check that the intended information is saved in the selected customer contact, venue or booking details.

  3. Review the dynamic field used in the document. Contact name, company name and venue name each refer to their own source.

  4. Open the document preview with its booking context and compare the displayed value with the saved source.

  5. Complete any required source information and review the preview again. Support can help you check the field selection when needed.

A reusable template can display “No data” before a booking supplies the value. Complete the intended source information when preparing the booking document. Keep source information accurate; ask support to check the field mapping if the preview needs further attention.

Review labels and field names

Reload the page to display the current labels. If you would like help identifying a label, send its exact wording and the template or document link to support.

Refine the layout

Review the preview and every page of the downloaded PDF. Check tables, line spacing, font size, address blocks and page breaks. When copying a table from Word, preserve its rows and columns as a table. Check the output after each adjustment.

For longer contract body text, 8 pt is a useful starting point. Confirm readability in the PDF. Header areas may follow separate layout settings. Keep a copy of a useful original template before making wider design changes.
