Why is a field empty or my document preview incorrect as a booking agent?

Understand empty dynamic fields, document context and PDF differences, and collect useful details for support.

A missing value in a template does not necessarily mean the field is broken. Dynamic fields need information from the relevant booking, contact or other selected source. Start by checking the document context and the saved information.

This guide is for booking agents. Check the specific document and booking your agency is preparing; another template or booking may use different information.

Check a missing or unexpected value

  1. Identify whether you are viewing a reusable template or a document created for a specific booking.

  2. In the relevant booking, check that the information you expect is saved in the correct source, such as the selected customer contact, venue or booking details.

  3. Check which dynamic field the document uses. A contact name, company name and venue name come from different information.

  4. Open the preview of the document with its booking context and compare the displayed value with the saved source.

  5. If the difference remains, send Optune support the details below.

A template can show “No data” when there is no booking context to supply the value. If the source is empty, complete the intended booking information before preparing the final document. If the source is correct but the preview is wrong, do not replace the source with inaccurate information merely to change the preview.

What if I see a technical placeholder?

A label such as “hashtags.null.label” is different from a genuinely empty field. Reload the page and check again. If it remains, report the exact label and the template or document link to support.

What if the layout looks wrong?

Check the preview and the whole downloaded PDF, not only a cropped part of the page. Identify the exact problem: a table, line spacing, font size, address block or page break. A table copied from Word should remain a real table rather than text aligned with spaces. Check the result again after an adjustment.

For longer contract body text, 8 pt is a useful starting point. Check readability in the resulting PDF; fixed header areas may follow separate layout settings. Preserve a useful original template before making wider design changes.

What should I send support?

  • The link to the template in its editor and, if the issue needs booking data, the affected booking or document link.

  • The field or page involved, the expected value and the actual result.

  • A cropped screenshot or example PDF showing the problem, with unrelated personal information removed.

  • Your role and whether it happens in the template, document preview or downloaded PDF.

If opening a document shows an access error, contact the person responsible for that document or Optune support. A missing permission is not the same as an empty dynamic field. Keep private links and documents in the agreed support channel.
