How should agents prepare and review marketing-material information?

Define clear material questions, review returned values and check documents separately from the request.

Prepare marketing requirements in the booking before asking a venue or promoter for a response. Define the material or activity clearly so the recipient knows whether you need a quantity, a Yes/No answer or delivery information.

Make each item unambiguous

Use concrete descriptions such as a poster format or “Instagram advertising”. A Yes/No value answers the question defined by that item. It does not automatically place an order, confirm a delivery or settle a payment. Check the delivery contact separately from the requested quantity.

Collect and review the response

A Booking Details Request is the appropriate type of request for an existing booking. Include the intended marketing category with the necessary viewing and editing permissions. Review every selected category before sending; do not assume the initial selection is limited to marketing information.

The venue responds to the fields prepared in the booking. When the response arrives, review the additions and changes before accepting them. Check names and contact details as well as quantities so that the information is suitable for later production work.

Use the information in documents separately

Collecting the response does not by itself prepare the contract. A document template can use the relevant marketing block or fields, but the person preparing the document must select the required information and check the resulting document with its booking data.

  1. Confirm which material, quantity or activity was agreed.

  2. Check the saved booking and the intended delivery contact.

  3. Identify which information the contract or production document needs.

  4. Compare the document's preview and complete downloaded file with those saved values.

  5. Resolve missing or incorrect information before sharing or sending the document.

Can recurring requirements or new fields be reused?

Use a supported booking-detail template for recurring information, then check the specific show's requirements after applying it. A new custom field is a separate extension: specify its input, permissions and each required output. Its presence in the booking is not proof that it is available in the API or every document.

For a missing value, provide support with the booking link, relevant request or document link, the field name and the expected result. This helps distinguish an absent booking value from an output or permission problem.
