To see Optune bookings in Google Calendar or Apple Calendar, subscribe to an Optune calendar feed. Use the agency feed for an agency overview, or an artist feed for one artist. Choose a public feed for published show information and a private feed for an internal planning calendar.
This guide is for booking agents. A calendar subscription is a one-way view of Optune information. Edit the booking in Optune; changes or availability answers entered in an external calendar are not sent back through this feed.
Where do I find the right feed?
What you want to see | Where to start in Optune |
Bookings across your agency | Open Agency > Integrations and find For your calendar. |
Bookings for one artist | Open Artists, select the artist, then open Integrations and find For your calendar. |
Two selected artists together | Subscribe to a separate feed for each artist in your external calendar, then display both calendars there. |
Check the agency or artist name before copying or creating a feed. If your account cannot configure the required feed, ask an administrator to prepare the appropriate feed for you. Do not change another person's artist access just to create a temporary calendar view.
Should I choose Public calendar feed or Private calendar feeds?
Public calendar feed is for published bookings and public show information. It is appropriate for someone who should only see publicly announced dates, such as a fan or family member. A booking must have its Published label enabled to appear in a public feed; Confirmed alone is not enough.
Private calendar feeds are for internal planning. They can include unpublished bookings and selected additional information. Configure the feed for its intended recipient and purpose. Do not use a private feed URL in a public website, help article or social post.
These are different from a booking Share link, a public artist profile and a website widget. Use the calendar feed URL when setting up a calendar subscription.
How do I create a private feed?
Open the appropriate Integrations tab and locate Private calendar feeds.
Select Create private calendar feed.
Enter an optional, recognisable name, such as “Winter tour production calendar”.
Read the standard-content explanation and enable only the additional categories needed for this calendar.
Select Create feed.
Copy the full URL from the success dialog immediately. Optune shows it only once. Use the Copy button if automatic clipboard copying is unavailable.
Add that URL as a subscription in the intended calendar application before closing or losing it.
The list later shows the feed's name, a masked key, selected categories, status and usage information. The masked key is not a replacement for the complete subscription URL.
Which booking details can a private feed include?
The configuration dialog lists event date, play time, operational period, artist name, booking status, venue information and internal comments as standard content. Standard content can therefore already contain internal information; it is not the same as the public feed.
Additional switches are grouped as follows:
Booking status: Incl. requests and Incl. canceled bookings.
Contacts: Contacts & notes.
Additional info: Deal, Guest list, Lineup, Schedules, Specials, Miscellaneous and Marketing materials.
Logistics: Travels, Local transfers and Accommodations.
Review the feed's own settings when deciding what its recipient may receive. Do not infer the feed contents only from a website's Published filter or from what someone happens to see in their app view. Deal visibility and account permissions are separate considerations.
How do I change a private feed or recover a lost URL?
To change the name or selected categories, open that feed's entry under Private calendar feeds, make the changes and select Save changes. Reopen it to check the saved settings. Your external calendar may take time to retrieve the updated information.
The full private URL cannot be displayed again after its creation dialog has closed. If it is lost, create a replacement feed with the required settings, subscribe using the new URL, and revoke the old feed when it is no longer needed. If the old URL has been exposed to someone who should not have it, revoke it promptly and replace any affected subscriptions.
How do I subscribe in Google Calendar?
Open Google Calendar in a computer web browser, using the account where you want the subscription.
Beside Other calendars, choose the add control and then From URL.
Paste the complete Optune feed URL and select Add calendar.
Check that the new calendar is selected in the calendar list. On your phone, use the same Google account and make sure that calendar is visible.
Google's mobile Calendar apps do not provide the initial URL-subscription step. Use the computer website to add it. See Google's instructions for adding a calendar by URL.
How do I subscribe in Apple Calendar on a Mac?
In Calendar, open File > New Calendar Subscription.
Paste the Optune feed URL and choose Subscribe.
Give the calendar a clear name and colour. Choose the account where you want the subscription stored.
Choose iCloud if you want the subscription available on devices signed in to the same Apple Account; a subscription stored only on the Mac stays local to that computer.
Review the available refresh settings and confirm the subscription.
See Apple's calendar subscription instructions for the current device-specific steps.
How do I subscribe on an iPhone or iPad?
In iOS 26 or iPadOS 26 and later, open Calendar and use Calendars > Add Calendar > Add Subscription Calendar. Paste the feed address, select Find, choose a title, colour and account, and finish with Done. Choose iCloud and use the same Apple Account on your other devices if you want the subscription across those devices.
Older versions use different confirmation labels. Follow Apple's version-specific instructions. Choose your Optune feed according to who should see the data, not according to whether you use an iPhone.
How do I stop a private feed or remove a subscription?
To stop future access through an Optune private feed, open its action menu and choose Revoke. Check the selected feed, then confirm the Revoke API key dialog. The dialog warns that integrations using that key will stop working. This is the feed's access key; do not revoke unrelated API keys or other people's feeds.
To stop displaying a feed only in your calendar application, remove that subscription in the calendar application. This is different from revoking the Optune feed. Revocation should not be treated as a way to erase information already downloaded, copied or cached by a recipient.
When will bookings and changes appear?
Subscribe by URL rather than importing a calendar file once. A subscription can retrieve future updates; a one-time import is a separate copy.
Calendar providers retrieve changes on their own schedules. Allow time for refreshes and use the live Optune booking when you need to check an urgent change. There is no guaranteed immediate update or universal 12-hour deadline.
For publicly announced dates, check both the booking's Published label and the selected feed. For private details, check the feed categories. A booking's operational period and its performance times are different information; see Operational period for agency bookings.
