How does electronic signing work for booking agents?

Understand personal signing links, contract versions and the information needed when a request needs attention.

Optune prepares the contract and sends each signing party their own invitation. The signing process is handled through Skribble. Check the complete agreement and the intended parties before sending a signature request.

Prepare the complete agreement first

A signing request is for reviewing and signing a prepared contract. It is not a form for adding missing booking details to dotted lines. Collect those details first, complete the booking and contract, and review the resulting document before requesting signatures.

  • Check the booking, contract content and the documents intended to form part of the agreement.

  • Check every signing party and email address, including your own organisation if it must sign.

  • Review the final preview rather than relying on a template without booking data.

Does each person need an Optune or Skribble account?

An external signer does not need an Optune account. A separate Skribble account is also not required to use the personal signing link. Someone who already has a Skribble account should use the same email address as the signing party.

Each party must actively sign using their own link. A picture of a handwritten signature is not a substitute for that process. Do not forward one party’s personal signing link as if it were a general document link.

What do Sent and Signed mean?

Sent means that the signature request has been sent; it does not mean everyone has signed. A fully signed contract requires all the intended parties to complete their signatures. Review the individual signing status when following up.

When the process is complete, the signed contract is retained in Optune. The completion email provides access to the completed document. If you need the final agreement, use that completed version rather than an earlier unsigned preview.

Why is a Draft still visible?

The version used for the signing process is fixed. A separate editable draft can remain alongside it so a revised contract can be prepared when needed. Editing the draft does not change the signed version. Check which version you are using before sending or sharing it again.

What if a signature request needs attention?

First identify the exact contract, the party concerned and the displayed status. A missing email, an outstanding signature and a request you want to replace are different situations. Check the email address and the recipient’s spam folder before reporting a missing invitation.

For a declined, withdrawn or incorrect request, ask the person responsible for the contract or Optune support to confirm the appropriate action for that version. Do not assume a new draft has canceled an earlier request or that a reminder changes its contents.

What should I send support?

  • The booking or contract link and, if available, its contract ID.

  • The affected signing party’s email address and the approximate time of the request.

  • The displayed status, what you expected and whether the email was ever received.

  • Whether the recipient checked spam and any email filtering.

Use a private support channel and keep personal signing links out of screenshots. If you have questions about current charges or which features your group can use, check with Optune support before starting a new process.
