Start with the booking the agreement belongs to. This guide is for booking agents with access to the relevant booking and contract. Preparing a contract, uploading an existing file and requesting signatures are different actions.
Prepare the booking information
Check the artist, show dates, venue, customer contact, deal and event-specific agreements. Information that is missing from the booking may also be missing from dynamic fields in the contract. Ask the responsible person for missing details before preparing the agreement for signing.
Check which contact or organisation should appear in the document. A venue contact, a customer contact and a signing party can have different responsibilities. If the displayed contact information looks wrong, investigate the source before changing saved contact records.
Create and review the contract
Open the intended booking and its Contracts tab.
Choose New contract, then select the intended template or Start blank.
Add or review the contract wording and dynamic fields, checking their values against the booking.
Review the document parties, dates, fees and layout, then save the draft and check the saved document.
Open the preview and check the complete downloaded PDF before sharing the agreement or requesting signatures.
Creating a document from a template and uploading an existing contract are separate options. An uploaded file is not the same as an Optune-generated contract with editable wording and dynamic fields.
What should I check in the finished document?
The correct artist, event, performance date and venue.
The intended document sender, receiver and signing parties.
Fees, currency and other agreed terms, including any event-specific wording.
Every page, including tables, address information and any intended attachments.
Treat a downloaded PDF as a version to review. If you subsequently change the agreement, check the newly generated result again. A preview of one part of a page is not enough to confirm the whole document.
Language, regional format and dynamic fields
The document’s language and its date/number format are separate choices. In the document menu, Change layout lets you review these settings. Check the output as well as the editor. Changing a format does not translate your own written contract text.
Use dynamic fields for information that should come from the booking, and ordinary text for fixed wording. If a field is empty or incorrect, check its source. Do not change an accurate booking value merely to make an incorrect field look right.
What if I chose the wrong template?
Create a new contract in the booking and select the correct template; the template of an already created contract cannot be switched afterwards. Identify the intended version before sharing it. Creating or editing a draft does not change a previously signed contract or automatically withdraw a signature request.
Before requesting signatures
Complete all agreement details and review every signing party and email address. E-Sign is for reviewing and signing the prepared contract, not filling in missing details on dotted lines. Each party signs through their own personal link.
