How do I create and apply a schedule template as an artist?

Create a reusable schedule in the template library, apply it to an empty artist booking schedule, then save and check the result.

Use a booking-detail template to prepare a reusable schedule, then apply it to an artist booking. Review and save the resulting schedule for each show. This guide covers creating a schedule template in the template library and applying it to an empty booking schedule.

Before you start

Select the intended artist group. You need access to its templates and permission to edit the destination booking. If those controls are missing, ask the artist administrator or the person responsible for the booking.

Use a clear template name and reusable descriptions, such as “Club soundcheck”. Plan to check the times, dates and event-specific details whenever you use the template. If the destination already contains schedule entries, record them first and ask support if you are unsure how applying a template will affect them.

Create and apply a schedule template

  1. Open Templates > Booking details. Under Schedule templates, choose Add template, enter a name and description, and save them.

  2. In the new template panel, add a Schedule entry. Enter its description and start/end times, then save with Update. Reopen the template and check that the entry and times were saved.

  3. Open the intended booking, choose Edit details and find its Schedule section. Open that section’s cube-icon menu and choose Select template.

  4. Choose your saved schedule template and confirm with Select template. Review the resulting entries, descriptions and times for this show.

  5. Save the booking explicitly, then reopen it. Check that the intended schedule is present and that its dates and times make sense for the event.

In the German interface, the main path is Vorlagen > Buchungsdetails > Zeitplanvorlagen > Vorlage hinzufügen. In the booking, use Details bearbeiten > Zeitplan > Vorlage auswählen.

What should I check after applying it?

  • The right template was applied to the right booking.

  • Each activity has the intended description, start time and end time.

  • AM/PM or 24-hour notation is interpreted correctly; overnight activities fall on the intended day.

  • Dates, venue instructions and contact references still fit this show.

  • The saved schedule contains the intended entries, without missing or unwanted duplicate content.

For example, 6:00 PM means 18:00. Review the values actually displayed in your group instead of assuming every screen uses the same time notation.

What happens if I apply the same schedule template again?

In the tested artist workflow, applying the same template to a schedule that already contained its entry added a second copy. Both entries remained after saving and reopening the booking. Check for duplicates before you save; do not use repeated template application as a way to update an existing entry.

Does a template keep bookings in sync?

In the tested workflow, changing and saving a template description did not update the entries already applied to a booking: they retained their original descriptions when the booking was reopened. Do not rely on a later template change automatically updating schedules already used in bookings. Check and save the schedule in each affected booking. Likewise, do not assume applying a template will merge with, replace or preserve existing entries in the way you expect.

If a booking already has a detailed schedule and the effect is unclear, contact support with the template name and booking link before applying it. This guide’s workflow starts with an empty destination schedule.

Is this the same as a task or contract template?

No. Booking-detail templates, task templates and document templates are separate areas. Use a task template for a set of tasks, and the relevant contract or invoice template for a document. Applying a schedule still leaves the booking’s date, venue, contacts and other information to review.

Creating a template in the library is also different from saving a booking section as a template. The steps above cover the library workflow.

Can I also reuse Specials / Additional information?

Yes. In the tested artist workflow, a template created under Templates > Booking details > Specials / Additional information templates could be applied to the matching empty section of a booking.

  1. Add a template in that category, give it a clear name and description, and save it.

  2. Choose Add new information, enter its title and details, and save the entry.

  3. Open the destination booking in Edit details. In Specials / Additional information, open the cube-icon menu and choose Select template.

  4. Select the intended template and review the resulting information.

  5. Save the booking explicitly and reopen it to check the saved title and details.

This test used an empty destination section. It does not establish how every other category handles existing content or later template changes.
