Keep the journey, local pickup and overnight stay in separate logistics sections of your booking. This guide applies to your Artist group.
Add the logistics
Open your booking, choose Edit details and find Logistics in Details.
In Travel, add a journey and choose Flight, Train, Bus, Car, Ship or Other. Complete the fields offered for that journey and check the dates and times against your travel arrangement. Flight uses flight number and airport fields; the other travel types use journey/vehicle number and From/To fields.
In Local Transfers, enter the pickup company or driver, pickup location, destination and pickup date/time. Put relevant arrival or parking instructions in the notes.
In Accommodation, add each hotel separately. Complete its address, booking reference, room counts and check-in/check-out dates and times. Save the booking.
Reopen the booking and inspect the itinerary preview and the complete downloaded PDF before sharing it. Check every hotel, each date/time and all notes across every page.
Several hotels and contract fields
You can keep more than one accommodation entry in a booking. A dynamic field for the first hotel name inserts that individual value; it does not replace a full accommodation list. Choose the appropriate list in the document editor when you need a fuller summary, then inspect the resulting PDF.
Missing check-in/out values can appear as question marks in a contract list. Do not assume that every hotel note appears in that list. An itinerary and a contract list can include different details.
Before sharing
Check who should receive the information and which categories they should see. What you can see in your own account or export does not establish what a recipient can access. Review downloaded files separately from the sharing link.
Check travel details manually against the confirmed ticket or reservation. Do not rely on a travel entry or an uploaded document as evidence that transport or accommodation has been booked.
