How do I format an artist contract and customize its PDF layout?

Format artist-contract text and tables, adjust the PDF layout, language and filename, and check every downloaded page.

Use the text editor for the contract body and Change layout for the PDF appearance. Save the draft, then download and review every page before sharing it. Start from a draft you are allowed to edit.

Format and check a draft

  1. Open the booking in your Artist group, go to Contracts and open the draft. Choose Edit, then edit the main content.

  2. Select the text and apply its formatting. Use 8 pt for contract body text and check that it remains readable in the downloaded PDF. Pasted content can use different sizes, so apply the size after pasting.

  3. Use a real table for aligned columns, rather than spaces. Check column widths, borders and page breaks in the PDF: the editor and downloaded file may not look identical. For example, a table can retain its columns but lose visible gridlines.

  4. Use strikethrough for wording you need to show as crossed out. To start a section on a new page, use the editor’s page-break control instead of adding many blank lines.

  5. Save, open the preview and download the PDF. Review all pages, including the end of the document, before sharing or requesting signatures.

Change the PDF layout

Open the document’s … menu and choose Change layout. The layout panel offers a font family, logo placement and separate controls for hiding the address header and hiding the logo. The address header contains sender and recipient details. Check the resulting PDF after changing either control. Hiding the document logo does not necessarily remove the separate “Powered by Optune” mark; that mark remained in our Artist test.

If the sender or recipient’s country, email or other contact detail needs attention, inspect the corresponding field in the document editor. Check the selected data source and the saved document. Do not assume an edit affects only the PDF or automatically updates an existing contact everywhere. If an address changes unexpectedly, stop and ask Support to check the document and contact source.

Language and regional format

Document language and date/number format are separate settings in Change layout. The language selection offers German, English, French, Italian and Dutch. Regional choices include Switzerland, Germany, the United Kingdom, the Netherlands and the United States.

For example, a French contract with the Switzerland format can show Date d’émission: 30.09.2026. Changing these settings does not translate text you wrote yourself. Always check the actual dates and any amounts in the PDF; a correct date alone does not verify every number or currency.

Fixed dates and dynamic filenames

A fixed date you type into the body remains that text. A dynamic field such as today’s date or the download date is intended to resolve from its context. Choose the field that matches your purpose and check the output; do not substitute the event date, issue date and download date for one another.

In the layout’s Filename field, combine fixed text with the available dynamic fields. For example, TEST Artist PDF #downloadedAtDate produced TEST Artist PDF 30-09-2026.pdf in a test download. The filename control also offers #downloadedAtTime. Unsupported filename characters are replaced; a repeated download can receive a local browser suffix such as (1).

Signature area

The document editor has a separate Insert signature setting. Review the signature area and page count in the complete PDF. Switching it off changes the document output; it is not a way to preserve the same electronic-signature workflow with invisible signature fields. Before requesting signatures, review the sender and recipient signers and their email addresses. See the signing guide below.

PDF headers versus browser printing

Optune’s address header and logo belong to the document layout. A web address, page title or date added by a browser print dialog is a different setting. Prefer the document’s PDF download for review. If you then print it, inspect the print preview and the browser’s header/footer settings separately.

Custom design and troubleshooting

Start with the standard layout and editor options. A separately commissioned custom design has its own agreed scope and possible costs; ask Support for a proposal before assuming a special layout is included or that every fixed template element can be edited.

If the PDF still differs from what you expect, send Support the booking or document link, the downloaded example, the affected page and a screenshot showing the expected layout. Mention whether the issue concerns body text, contact data, layout or browser printing.
