How do I prepare a booking contract as an artist?

Apply an artist contract template, save a draft and review the downloaded PDF before sharing or requesting signatures.

In your artist group, you can prepare a contract for a booking using an available contract template, save it as a draft and download a PDF for review. This guide covers preparing your own artist-group document. Access to an agency’s documents is a separate question.

Before you start

Open the correct artist group and booking. Check the event, performance date, venue, fee and currency. Review the intended sender and recipient details in the document itself. A template can contain example wording, missing fields and terms that still need your review.

Create and check a draft

  1. Open the booking’s Contracts tab and choose New contract (in German: Verträge > Neuer Vertrag).

  2. Apply an available contract template suitable for your document. Review the resulting text, booking values, sender and recipient details.

  3. Save the document as a draft, then reopen it from the booking’s contract list to check the saved result.

  4. Open Preview & send (Vorschau & senden) and use the PDF download control. Open the downloaded file.

  5. Review every page and resolve missing or incorrect content before sharing the document or requesting signatures.

Saving a draft and downloading its PDF are separate from requesting signatures. The preview also contains a signature-request action; only use that action when you intend to start that workflow.

What must I check in the document?

  • Artist, event, venue, performance date and times.

  • The actual sender and recipient, including their addresses.

  • The fee, currency, payment terms and bank information.

  • Missing-data markers, blank highlighted fields and leftover example wording.

  • Repeated currency labels, page breaks, tables and the signature area.

For example, if the amount already includes its currency, another currency field or typed label can make the output show the currency twice. Check the final document and ask support if you are unsure which part needs correcting. A successful download does not mean that all required information is complete.

For a compact contract layout, use 8 pt for the main body text and check that the exported PDF remains legible.

Language and date/number format

The document settings separate contract language from date and number format. Check both for your intended recipient. The available language choices include German, English, French, Italian and Dutch. Do not assume that changing this setting translates the wording you or a template author entered; review the full text and the exported result.

The draft displays an unexpected value

If a saved draft displays an unexpected value, close and reopen the saved document and compare it with a newly downloaded PDF. If the problem remains in either view, send support the booking or contract link, a screenshot of the field, the relevant PDF page and the value you expected. Do not send an incorrect version to the recipient.

Using a template is different from editing the template

This workflow applies an existing contract template to one booking document. Editing or saving a reusable contract template is a separate task. Booking-detail templates, such as a reusable schedule, are also separate from contract templates.

If the contract controls are not available in your group, tell support which artist group and booking you are using and which step is missing. Do not assume that another team member or an agency has the same document access.
