How do agents share a booking request form with a promoter?

Create an agency or artist-specific enquiry link, choose fields and check recipients before sharing.

Use a booking request form to collect a new enquiry from a promoter. You can share a link for your agency or open the form for one artist. Check the recipient and the form preview before you share it.

Open the form in your agency

  1. Open Agency → Integrations. In the German interface, the path is Agentur → Integrationen.

  2. Under For your website, select Artist booking request form. In German: Für deine Website → Buchungsanfrageformular.

  3. Choose the form settings and the fields you want the promoter to complete.

  4. Copy the form URL at the top of the wizard and open it in a new browser tab to check it.

  5. Send that link to the promoter in your usual email or messaging app.

The link opens the request form. It is different from a private calendar feed or an API key; use the URL from the booking request wizard.

Share a form for one artist

In your agency, open Artists, select the artist, then open Integrations → Artist booking request form. In German: Künstler → select the artist → Integrationen → Buchungsanfrageformular. The generated artist form is intended for that artist, rather than the general agency roster.

Before sharing it, read the recipient information beside the form button in Integrationen. An artist’s form can route requests to an agency. Use the recipient setting shown there if you need to review who receives the requests.

Choose useful fields

The current wizard separates general fields from live-event fields. Where a control is available, Show (Anzeigen) controls whether a field appears and Required (Pflichtfeld) controls whether it must be completed. Some core fields are fixed. Check the actual form rather than assuming every field is optional.

You can configure options such as company name, address, end date, fee proposal, alternative event date, event type/capacity, venue and performance time. The available controls determine what you can show or require. Page settings also include the theme, default currency and header.

Keep the form focused on the information you need for the initial enquiry. The screenshot below shows a blank German form with one selection of fields; your form can show additional fields.

Check notifications and access

Requests sent to an agency are visible to agency members with write access and a visible Deal for the selected artist. Email and in-app notifications also depend on the relevant notification settings. Open the notification-settings link in Integrationen to review your preferences.

A request is an enquiry. Review the details and agree the booking before treating it as confirmed. For information about an existing booking, use the booking’s Requests workflow; use Share to show selected information.

Embed the form on your website

The same wizard provides an embed code under Developer settings (Entwicklereinstellungen). Configure the fields first, copy the generated code and add it to your website’s embed/HTML block. Adjust Height (px), called Höhe (px) in German, to fit the selected fields, then check the published page on desktop and mobile.

Text colour, required-field colour, font family and a custom CSS stylesheet URL are optional settings. Use them only when needed and check the result in the form preview.
