Add a booking request form to your agency or artist website so promoters can send a new enquiry. Optune generates the form link and embed code for you.
1. Choose the agency or artist form
For your agency, open Agency → Integrations → Artist booking request form. For one artist in your roster, open Artists, select the artist, then open Integrations and the form wizard.
In the German interface, these labels are Agentur, Künstler, Integrationen and Buchungsanfrageformular. The English button is called Artist booking request form even on the agency integrations page.
Read the recipient information beside the button before sharing or embedding the form. An artist-specific form can send requests to an agency.
2. Set up the form
Choose the theme, default currency and whether to show the header under Page settings. Choose the fields under General fields and Live event specific fields, not under Page settings. Use Show and Required to select the available fields; some core fields are fixed. In German, the corresponding controls are Seiteneinstellungen, Anzeigen and Pflichtfeld.
General fields include options such as company name, address, end date and fee offer. Live event specific fields include an alternative event date, event type/capacity, venue and play time. Keep the initial enquiry focused on what you need to start the conversation.
Open the Artist booking request form URL at the top of the wizard to check the actual form. This preview is the best way to see the result of your chosen fields and appearance.
3. Add the generated code to your website
Open Developer settings in the same wizard.
Copy the complete Custom Embed Code generated by Optune.
Paste it into a custom HTML or embed block in your website editor.
Adjust Height (px) to fit the fields you selected, then use the updated code.
Preview the published website on desktop and mobile. Check that all fields and the send button are reachable.
In German, the settings are Entwicklereinstellungen, Eigener Embed Code and Höhe (px). Your website builder must support embedded HTML content. Its available blocks and plan requirements depend on that provider.
Appearance and practical checks
Optional settings let you choose text and required-field colours, a font family and a CSS stylesheet link. Start with the standard settings and preview any changes. Custom CSS may need updating when the form changes.
If the bottom of the form is cut off, increase the embed height and check the page again. If your website cannot display embedded content, add a normal “Booking enquiry” button linking to the generated form URL.
Use the booking request wizard’s link or embed code. Never put a private calendar feed or API key into a public website.
Who receives the enquiries?
The recipient information in Integrations shows where requests are sent. For agency requests, visibility depends on edit rights and a visible Deal for the selected artist. Email and in-app notifications also require the relevant notification settings to be active.
A submitted enquiry starts a booking conversation; review and agree the details before treating the booking as confirmed.
