What should artists check when collecting marketing-material information?

Use the marketing-material information on a booking to make the production requirements clear. A quantity, a Yes/No response and delivery details describe different parts of the request. If your agency manages these details, agree with the responsible agent who will prepare and review them.

Describe the requirement before collecting an answer

Name the item or activity clearly. For example, a poster quantity asks for a number, while a Yes/No item labelled “Instagram advertising” asks whether that specific activity will take place. A Yes answer does not by itself confirm a delivery, place an order or record a payment.

Keep the information specific to the show: the required material, quantity or question and the intended delivery contact. An external contact can only respond to the fields included in the request; an unclear label will not become clearer when it is shared.

Requesting information and using it in a contract are separate

A Booking Details Request collects missing information for an existing booking. The person preparing it selects the categories and the viewing or editing permissions. Review the returned information before using it in the booking.

Using that information in a contract is a separate preparation step. The document must contain the appropriate fields and be checked with the actual booking data. Completing a marketing response does not prove that every value has appeared in the final document. Ask the person preparing the contract to verify the completed output.

Check an unclear response

  1. Confirm the booking and the exact material or activity.

  2. Compare the question with the value supplied.

  3. Check the intended contact and any missing quantity or delivery information.

  4. Ask the responsible agent or contact to clarify a mismatch before treating it as agreed.

  5. Check the resulting document or shared information where it is actually needed.

What if the field does not exist?

Check the standard booking fields first. An individually developed field must be specified for each place it will be entered or used, including a request, document or integration. Do not assume a custom field automatically appears in every output.
