How do I review my artist team and individual category permissions?

Review artist-team roles, individual category permissions, global settings and missing Share or Requests tabs.

Your fixed team contains the people who regularly work with your artist or band group. Review each person's actual settings as well as their role. This guide is for your artist group; managing an agency team is a separate task.

Review an existing artist-team member

  1. Check that your intended artist or band group is active, then open Profile.

  2. Open Team and select the existing person's card. Check their identity and invitation or membership status.

  3. In Update the member's role & rights, review Admin, Member, Technician or Other, then the separate Edit rights / Read only and Show deal / Hide deal choices.

  4. Review Advanced category rights. Check each available category against the information this person needs. Close the dialog if you only intended to inspect the settings.

  5. If you intentionally change settings, use Update, reopen the card and ask the person to check their own booking view. Check the relevant shared output separately before relying on it for confidential information.

You need full artist-admin rights to change these personal category permissions. Your agency can also manage the artist-team settings where authorised. A role name alone does not describe every permission. Being in your artist team does not make someone an agency team member or automatically make agency tasks assignable to them.

Global categories and personal category rights

The artist's global category settings define the available categories and are synchronised between the artist and agency. Personal category rights can further restrict this set for an individual permanent team member.

A category must be enabled globally and allowed for that person. Disabling it globally takes precedence over the personal choice. If it is enabled globally again, the person's existing restrictions remain. Deal visibility is a separate setting.

The current member dialog groups category choices into booking details, additional information, marketing materials, logistics and shared documents. Examples include Contacts, Notes for artist, Guest list, Line up, Schedules, Traveling, Local transfers and Accommodations. Some choices can be unavailable or locked; do not assume every switch can be changed in every context.

These settings are also relevant to the categories available in booking previews and the person's calendar-feed or API-key setup. Seeing a category selector or a profile icon is not proof of what every existing link, export, feed or API response contains. Check the specific output and ask support if its behaviour is unclear.

If Share or Requests is missing

Check the active group, the affected person's booking-edit rights, contact visibility and any available Share or Requests permissions. Check the person's own view rather than the administrator's view. Do not change unrelated settings simply to make a tab appear.

Ask support to confirm the applicable behaviour if the tabs or visible contact details do not match the intended permissions. Include the booking link, the affected role, selected settings and a screenshot with unrelated personal details hidden.

Documents and financial information

Keep agency-generated invoices and contracts, documents created within an artist's own group, and uploaded files separate when checking access. Artist-admin status alone does not establish access to agency financial documents. A visible booking or profile icon is not a complete document-access check.

Invitations and membership status

Team provides Add new member for a new invitation. Review the intended email address, role and category permissions before sending anything. If the person already uses Optune, use the address associated with their intended account and confirm the correct group.

An invitation is not accepted membership. Check the status shown on the card; an expired link requires attention before the person can use that invitation. Do not assume delivery or acceptance merely because a card exists. Team access and subscription requirements are separate; review any plan prompt before continuing.
