You can prepare an invoice draft from a booking in your artist group, enter a manual payment position and download the PDF for review. This guide covers a blank invoice and checking the saved draft. Invoice templates, sending invoices and recording payments are separate workflows.
Before you start
Open the correct artist group and booking, and check the agreed amount and currency. You need access to the booking’s invoice controls. For a test, use a clearly labelled draft with no payment request and do not select a real recipient.
Check contact changes carefully: an issue has been observed where selecting an invoice recipient or updating its customer reference writes billing-address details back to the saved contact’s main details. Do not assume these actions affect only the invoice. If the contact has a separate billing address, ask support about your case before making the change.
Create and check a blank invoice draft
Open the booking’s Invoices tab, choose New invoice and select Blank invoice. Review the title, issue date, due date and displayed invoice reference.
Under payment positions, choose New position > Other amount. Enter a clear description. In the position editor, also select Other amount in the Deal amount field for a manual amount.
Enter the amount and check its currency and tax field. Use the values appropriate to your invoice, then save the position. Check that the position and total show numbers, not an empty or invalid result.
Use the upper New invoice action to save the invoice draft. Reopen it and verify the title, position, amount, currency and reference.
Open Preview & send and download the PDF. Open the actual file and check the complete document before taking any sharing or sending action.
In the German interface, the main controls are Rechnungen > Neue Rechnung > Leere Rechnung, Neue Position > Anderer Betrag, and Vorschau & senden. Saving a position is separate from saving the invoice itself.
The artist-fee option shows the wrong currency
Compare any offered artist-fee amount with the saved booking before using it. If the currency label does not match, do not rely on that option. You can prepare a manual position with Other amount, explicitly check the amount and currency, and compare the saved draft with the downloaded PDF.
If an unsaved position shows an invalid value such as “NaN”, check that Other amount is selected inside the position editor as well as in the initial menu. Do not save or distribute an incorrect result; contact support if the problem remains.
Invoice reference and customer reference
The invoice reference and customer reference are separate fields. An invoice reference may already be present in the blank draft. Check the value actually saved and printed; do not infer numbering or sequence rules from one automatically displayed example.
Use the customer-reference field only when you have the intended reference and have considered the contact-update issue described above. If you are unsure about an existing invoice’s reference, send support its link before changing it.
What must I check in the PDF?
The intended sender and recipient, including the required addresses.
Invoice reference, issue date, due date and title.
Each description, amount, currency, tax value and the total.
The intended payment details, if needed.
Every page, including the bottom of the document, for missing fields or clipped text.
A draft without a selected recipient can still produce a PDF without a recipient address. Blank bank fields do not become payment instructions automatically. A successful download therefore does not mean the invoice is complete or ready to send.
Opening the preview does not itself send the invoice. Review the finished file before using a separate sharing or sending action. This guide does not cover payment processing or changing a document to Sent or Paid.
Something is wrong
Send support the booking or invoice link, the expected amount and currency, the step that failed, and a screenshot or relevant PDF page. Hide unrelated contact and bank information. For an already issued or sent invoice, ask about the specific case before deleting or overwriting it; a status change is not a confirmed cancellation procedure.
