Which calendar or sharing link should I use as an artist?

Understand public and private calendar feeds, your public artist profile, website booking widgets and links to one booking.

Choose an Optune link according to who will use it and what they should see. A calendar feed adds dates to a calendar app. A public profile or booking page displays information in a web browser. A booking share link gives access to selected details of one booking.

These are different forms of access. A private calendar feed is not a public gig page, and a shared booking does not have to be published as a gig for fans.

An Artist feed represents that Artist group. If you need an agency's roster calendar, ask for the appropriate agency feed. Having access to more than one group does not combine all of their bookings into every link.

Public calendar feed: published gigs for a public audience

Use the Public calendar feed when the information is intended for fans or other public viewers. It is a calendar subscription URL for your published gigs, rather than a page with your full operational booking details.

Copy the URL from Profile → Integrations and add it to a calendar app as a subscription. Do not confuse a one-time calendar-file import with a subscription that checks for updates.

Confirmed and Published are separate. Confirmed describes the booking's status. Published controls its public gig visibility. A Confirmed booking can remain Not published while you prepare it internally. Before publishing, review the information intended for the public, including the event name, dates, venue and public description.

The device does not determine the feed type: a fan and a tour manager may both use Apple Calendar, but need different information. See how to subscribe in Google, Apple or Outlook.

Private calendar feed: operational information

Create a private feed when you need booking information for planning. The configuration states that its standard content includes event date, play time, Operational period, artist name, booking status, venue information and internal comments.

You can select additional categories, including Contacts & notes, Deal, Guest list, Schedules, marketing information and travel or accommodation details. Requests and canceled bookings have separate options. A private feed with only Standard information can still contain internal comments.

A private feed's configuration is separate from a public booking's Published setting. Also check Incl. requests independently of which requests are displayed inside your Artist group. Do not assume that hiding information in an app view removes it from a feed configured to include it.

The private feed URL is shown only once when the feed is created. Keep it confidential and use a calendar account appropriate for the included information. The link must not be added to a public website or shared as a fan calendar.

You can edit the feed's included categories later. If the full URL is lost, create a replacement feed and update the external subscriptions. If access through an old URL must stop, revoke that specific feed. See private feed setup, editing and revocation for the steps.

Public artist profile and website booking widget

Use Profile → Share profile to open your public artist profile. This is a browser page, not a calendar subscription. Depending on the content in your profile, it can include artist information, links, public shows and downloads.

Review the page before distributing its URL. Pay particular attention to downloadable files: a file suitable for internal production planning may be inappropriate for a public profile. Do not assume that a document is private simply because you uploaded it while signed in.

For a booking list on a website, use Profile → Integrations → Present bookings. The wizard provides a Custom booking page URL and Custom Embed Code. Its settings include the theme, header, pre-sale links, limits for upcoming and past bookings, and embed height.

Use the booking page URL when you want to link to the list. Use the embed code in a website area that supports embedding when you want to display the list inside that website. Preview the result on the actual site, including its mobile layout. A limited number of displayed shows does not mean that other bookings have been deleted from Optune.

Older Optune instructions may call this a Public Gig Website. In the current interface, start with Share profile for the profile page or Present bookings for the custom booking list. Neither requires exposing a private calendar feed.

Booking share link: selected details of one show

To prepare a link to one booking, open its Share tab, select Share, then choose Share via link. Review the selected categories before using Create link. Depending on your purpose, that may include production schedules without including Deal, guest names or internal notes.

The dialog explains that people with the link can view the selected categories and that the link expires automatically after 90 days. Treat the link as access to those details: a recipient may forward it. Share only information suitable for everyone who might receive that link.

Share with contact is a separate option in the same dialog. It asks you to select a contact and offers Send email with access link. Use that option only when you intend to email the chosen person. Selecting Share via link lets you prepare a link for your chosen distribution method instead.

A booking share link is not the same as the public calendar feed or an invitation to join the Artist team. Review the booking's Shared categories and Access rights for the relevant access entry. Do not use the Published setting as a replacement for checking a booking's sharing permissions.

Check these points before sharing

  1. Artist group: Does the profile, feed or booking belong to the intended artist?

  2. Audience: Is this for fans, an external production contact or your internal team?

  3. Information: Are the selected categories and any public downloads appropriate? Check notes, contact details, Deal and guest names especially carefully.

  4. Link type: Are you giving the recipient a page, a calendar subscription or access to one booking?

  5. Changes and access: Have you checked how this particular feed or link can be changed, revoked or allowed to expire? Do not assume that changing one access method changes the others.
