How do I mark artist availability as Blocked, On request or On tour?

Use availability periods to show when you are unavailable, need to be asked first, or are on tour. Keep this information separate from individual bookings.

Which availability type should I choose?

Type

When to use it

Blocked

You are not available for a performance during the selected period, for example because of rehearsals or another commitment.

On request

Someone should check with you before offering or confirming a performance during the selected period.

On tour

Mark a period associated with touring. Use individual bookings for the actual shows and their event details.

Add a short practical explanation in Notes for artist when it helps the people planning your schedule. For example: "Studio rehearsals and production preparation. Unavailable for performances during this period."

Keep notes relevant to planning. You do not need to include personal or sensitive reasons for being unavailable.

Add an availability period

  1. Open Bookings.

  2. Open the + menu and choose Set Availability.

  3. In Add blocked, on request or tour dates, choose the appropriate Type.

  4. Under Select range, choose the start and end dates. Review both fields before saving.

  5. Add an optional explanation in Notes for artist.

  6. Click Add.

The new availability entry appears in the booking list with its date range and type. An entry for 18–20 September, for example, is displayed as Friday 18 September to Sunday 20 September.

Edit an existing period

  1. Find the availability entry in Bookings.

  2. Click the entry to open Update blocked, on request or tour dates.

  3. Review its type, date range and notes.

  4. Make the required changes and click Update.

Reopen the entry if you want to check the saved details. Changing the explanation is useful when plans become clearer, for example after rehearsal arrangements are confirmed.

Remove a period that no longer applies

  1. Open the availability entry you want to remove.

  2. Check its type, dates and notes to make sure it is the correct entry.

  3. Click Delete.

In this workflow, Delete removes the entry directly; no second confirmation was shown. Check carefully before clicking. Use Update instead if only the dates, type or explanation have changed. Use Close if you do not want to remove the entry.

What if I cannot find or change availability?

If you are in Calendar view, use the view selector to open List view and look for the relevant date range and type. Check your active filters and search text if an entry appears to be missing.

If you do not have the required editing controls, ask the administrator of your artist team to check your permissions. Do not assume that every artist team member has the same access.

Treat availability as scheduling information. Before agreeing to a show, check the actual bookings, travel and production commitments too. An empty period is not proof that every person needed for a show is free.

How is availability different from a booking status?

Availability describes a period in the artist's schedule. A booking status describes the progress of one specific engagement.

For example, an On request availability period is different from a booking with Request status. Do not treat an availability label as confirmation of a particular show. Use the booking itself to record the engagement and its status.

How is availability different from the operational period?

The Operational period belongs to a specific booking. It records when the artist or team needs to be involved, potentially including preparation before the show and work after it finishes.

An availability period is a separate scheduling entry. Use it to communicate broader availability; use the operational period inside a booking for that event's start and end of work.
