Use a booking’s Share tab to create a link for selected booking information. Choose the categories carefully and check the resulting page before passing the link to the intended person. This workflow is separate from adding someone to your permanent artist team.
You need access to the booking’s sharing controls. If they are missing, ask the artist administrator or the person responsible for the booking.
Create and check a booking link
Open the intended booking. If you are in its compact view, choose Edit details, open the Share tab and choose Share.
In the Share booking dialog, choose Share via link. This is the link-creation route; you do not need to select an email recipient for it.
Review every category switch. Turn off categories the recipient does not need and enable only the intended information—for example, Schedule.
Read the access and validity information, then choose Create link. Copy the link displayed in the dialog.
Open the exact link and check the resulting information before passing it on. Confirm the event and selected content, and look for anything the recipient should not receive.
In the German interface, use Details bearbeiten > Teilen > Teilen > Teilen via Link, then Link erstellen. Creating the link is separate from sending it to someone.
Example: share a schedule with a sound engineer
If the person needs only the running times, turn off the other categories and enable Schedule. Check contacts, artist and agent notes, general notes, Deal, guest information, logistics and documents individually. Do not assume the initial switch positions match your intended selection.
The shared page also includes general booking information, such as the artist, event name and date. Selecting only Schedule does not mean that the page contains only schedule rows. Read the basic information as well as the selected section.
Check that the activities and times are right for this event. If the person also needs a venue contact or another category, decide that separately instead of enabling all categories by default.
Check access and link validity
The dialog describes this link as valid for 90 days from creation. Read the current notice when creating it. Keep the link within the intended recipient group, especially when it contains internal production information.
A successful check in your own signed-in browser does not confirm what someone else can access. If access is important to the workflow, verify the intended recipient’s result separately. Do not assume the recipient’s existing artist-team permissions are changed by this link.
What if the booking changes or access should stop?
After an important booking change, reopen the shared link and compare its contents with the saved booking. Do not assume that it has updated automatically.
If a link went to the wrong person or access needs to end, contact support about that specific share. Do not assume changing the booking or creating another link revokes an earlier one, or removes copies someone has already saved.
The recipient sees the wrong information
Check that they opened the intended link and compare the result with the selected categories and general booking information. For support, provide the booking link, the expected categories, whether the person was signed in and a redacted screenshot of the result. Share private links only through the support conversation.
This guide covers creating and checking a link. Sharing by email with a contact, requesting information and giving permanent team access are separate workflows.
